Getting Started

Are you a new user? Not sure where to start? Follow the instructions below!

Step 1: Access the Data & Insights Portal (see the Accessing the Portal tab).

Step 2: Modify your Check-ins Form (see the Modifying your Check-ins Form tab) to capture the unique client and/or program data that matters to you.

Step 3: Access the Check-ins Form (see the Accessing Check-ins Form tab) to verify the questions being asked and information being captured is what's desired.

Step 4: If applicable, share the contactless methods to access the Check-ins Form included in the Check-ins Flyer with those who will be collecting data (likely staff / volunteers), and those who you will be collecting data from (likely clients). You can also insert the shortened link into your outreach messages for remote data capturing!

Step 5: Access your Live Check-ins (see the Accessing Real-Time Data tab) to view automatically formatted, real-time data and visualizations from the use of the Check-ins Form!

Accessing Data & Insights

Step 1: Go to checkins.org, and then click on "See Your Data and Insights". A screen will appear for you to Log in or Sign-up.

First sign-up making sure to use your work email and a password of your choice. If you have already signed up using your work email, simply Log In using your work email and password used to sign-up.

Step 2: Once logged in, see short video below to securely access your automatic data collections, insights, and reporting.*

*Components are visible only when information is available for them! For example, if you can't see the SMS Status Report component is because there isn't one for your account, yet.

Check-ins Modification Form

Step 1:
To modify your check-ins form (flexible data collections form), you simply click on Check-ins Form Modification in the list of components available to you when logged in to the Data & Insights Portal as shown in the video below.

Step 2:
Out of the list presented, select the questions currently in your Check-ins Form which you'd like to modify and press Next.

Step 3:
For each of the questions selected, you'll then see 4 different options to modify your form.

Select "Keep Question" to make no changes to the question.

Select "Modify Question" to modify the question and options.


Below is a brief description of the options available for "Modify Question":

- Change Question Field Type: change your questions to be short answer (requiring user 's to type in their response), single select (requiring users to select 1 option out of many), or multi-select (allowing users to select multiple options out of many.

- Enter Modified Question: Use this field to change the wording of the question in your Check-ins Form.

- Enter Modified Option X: Use this field to change X numbered option for that question. To delete an existing option, replace what is in there and type DELETE. To add a new option, pick an empty field and type in the option you'd like to display in your form

- Modify More Options?: Press "Yes" to show more options to modify, including delete or add.

- Select Frequency: Select the frequency you'd like this question to show up for the user filling out the Check-ins Form. Select One-Time to show the question only when the first time they Check-in, and select Every time to show the question every time they check-in.

Select "Add New Question" to add a question that will show under the current question shown.


Below is a brief description of the options available for "Add New Question":

- Select Question Field Type: Select your question to be short answer (requiring user to type in their response), single select (requiring users to select 1 option out of many), or multi-select (allowing users to select multiple options out of many.

- Enter New Question to Add: Use this field to type in the new question you'd like to add to your Check-ins Form.

- Enter new Option X: Use this field to add the options for the new questions (only when selecting Single Select or Multi-Select as a Question Type).

- Add More Options?: Press "Yes" to show more options to add.

- Select Frequency: Select the frequency you'd like this question to show up for the user filling out the Check-ins Form. Select One-Time to show the question only when the first time they Check-in, and select Every time to show the question every time they check-in.

Select "Delete Question" to delete the question off the Check-ins Form.

Pro-Tips

  • If you want to add multiple questions, check off the number of questions you'd like to add on the Question List. So if you want to add 3 new questions, check off 3 Questions off the list and add each new question under the existing one.
  • If you want to show or hide a question based on the response of another, simply type the following to the Enter New Question to Add field, before the actual question as shown below

    • Template: [(INSERT SHOW or HIDE) BASED ON (INSERT DEPENDENT QUESTION) RESPONSE (INSERT RESPONSE THAT CAUSES IT TO SHOW OR HIDE] INSERT NEW QUESTION
    • Example: [(SHOW) BASED ON (Do you have a working email address?) RESPONSE (No)] What is another way to contact you?

Check-ins Flyer

Step 1: Login to Admin Portal by clicking "Home" button (see top of screen), and then selecting option for "See Your Data and Insights". A screen will appear for you to LOG IN, and login or sign-up using your work email.

Step 2:  Once logged in, see the short video below on how you can securely access your custom Check-ins Flyer for multiple contactless ways to collect unique client and program data.

Live Check-ins

Step 1:  Login to Admin Portal by clicking "Home" button (see top of screen), and then selecting option for "See Your Data and Insights". A screen will appear for you to LOG IN, and login or sign-up using your work email.

Step 2:  Once logged in, see the Live Check-ins video below to securely access your real-time check-ins, where you can view aggregate real-time information in the "Dashboard" tab, and search check-in history by-name in the "By-Name Search" tab.

SMS Status Report

Step 1: Login to Admin Portal by clicking "Home" button (see top of screen), and then selecting option for "See Your Data and Insights". A screen will appear for you to LOG IN, and login or sign-up using your work email.

Step 2:  Once logged in, the short video below will show you how access your SMS Status Report to see a by-name list of who successfully, and unsuccessfully, received the latest internal outreach message.

Add New User Form

Step 1: Login to Admin Portal by clicking "Home" button (see top of screen), and then selecting option for "See Your Data and Insights". A screen will appear for you to LOG IN, and login or sign-up using your work email.

Step 2:  Once logged in, see short video below on how to add others so that they may securely access your real-time check-ins data and more.

Password Reset

Forgot your password, and can't log in to access flexible data collections, insights, and reporting? Follow the video or instructions below!

1. Access Checkins.org and click ‘See Your Data & Insights’
2. The ‘Check-ins Portal’ will open in another tab. Press ‘LOG IN’
3. On the following screen click ‘Don’t remember your password?’
4. Enter your email address used to sign up/login (usually your work email). Click ‘Send Email’.
5. Check your email for instructions to complete the password change process, as shown below.
